Presentation Guidelines

 

We look forward to your presentation at the 2025 International Congress at The Westin Seattle in Seattle, Washington, USA, from April March 5-7, 2025. Below are the details for non-abstract concurrent sessions, oral abstract presentations, and poster abstract presentations. Please scroll to navigate accordingly. 


Non-Abstract Session Presentations

Accepted non-abstract concurrent session presentations were notified of their presentation time/date/length on Wednesday, December 18, 2024.

 

Room and Audiovisual Setup

Session rooms will be set up with theater seating with a head table with chairs, and a podium at the front of the room. There will be a materials table in the back of the room for use during your presentation, as space is available. Room set-up is subject to change.

 

Your session room will be equipped with an LCD projector/screen connected to a PC laptop (at podium) with a wireless slide advancer, one wired podium microphone and one wired head table microphone. The in-room PC laptop will be pre-loaded with the session’s PowerPoint slide deck and include a sound patch for video. If you wish to use your own laptop, please advise us immediately. Wi-Fi will be provided in all session rooms.

 

Presentation slides will be uploaded to the Congress Presentation Upload site and pre-loaded onto the session laptop (PPT). Mark your calendars for February 27, 2025, as the deadline to submit these slides. Presenters will receive instructions via email communication to start uploading their PowerPoints on Thursday, January 30, 2025. 

 

Presentation Upload for Session Presenters

All session presenter leaders must upload their final presentation by Thursday, February 27, using the Presentation Upload Portal. The upload process is in place to ensure that all sessions run smoothly. Failure to submit your presentation by the deadline could result in errors and/or missing information in your presentation. 

 


Oral Abstract Presentations

Oral abstract presentations are scheduled for 10 minutes plus 5 minutes for questions and answers. Accepted Oral Abstract presenters were notified of their presentation time/date/length on Wednesday, December 18, 2024.

 

Please sit in the front row of your oral abstract presentation session room for the duration of the session. The session chair will conduct introductions and monitor the length of your presentation.

 

All mobile phones must be turned off for the duration of the session. Mobile phones on silent will cause feedback with the microphones. A slide advancer/laser pointer will be available at the podium for your use.

 

Presentations should be submitted via the Presentation Upload Platform by Thursday, February 27, 2025. Presenters will receive instructions via email communication to start uploading their PowerPoints on Thursday, January 30, 2025. 

 

Presentation Upload for Oral Abstract Presenters

All oral abstract session presenters must upload their final presentation by Thursday, February 27, using the Presentation Upload Portal. The prior upload process is in place to ensure that all sessions run smoothly. Failure to submit your presentation by the deadline could result in errors and/or missing information in your presentation. 

 

Oral abstract presentations will be pre-loaded onto in-room laptops with the latest Microsoft software. Personal laptops may not be used in the session room. Presentations must be submitted by Thursday, February 27, 2025. PowerPoint and Keynote are the acceptable presentation formats.

 


Poster Presentations

Each poster will be presented at one of the two poster sessions at the Congress, and the schedule is listed below. Accepted Poster Abstract presenters will be notified of their presentation date by the end of January 2025. Please note that all posters will be up for viewing during both presentation days.

 

Poster sessions are determined by the ending number of the assigned poster number. Ex) P02.01 will present on Wednesday, and P01.24 will present on Thursday. 

 

  • Wednesday, March 5

    • 07:00 – 08:00                   Poster Session 1 + 2 Install

    • 17:30 – 19:00                     Poster Session 1 - Odd-numbered posters presented

 

  • Thursday, March 6               

    • 17:30 – 19:00 ​​​                    Poster Session 2 - Even-numbered posters presented

    • 19:00 – 19:30                     Poster Session 1 + 2 Dismantle

 

At least one of the authors must be present at the poster during the presentation session designated for the poster topic. Presenters MUST PRINT their posters in advance (see local locations below). 

 

Note: Posters not removed during the designated dismantle time listed above will be discarded.

 

Format Requirements
  • Poster presentation space is limited to the dimensions of 112 cm x 112 cm (44 in x 44 in). Dimensions are listed width x height.                                                   

  • Posters should be easily read at a distance of 1.5 meters (see Components and Design of a Poster below for font sizes).

  • A poster printed on one large sheet of matte or semi-gloss paper is encouraged.

 

Layout
  • Include the title of the presentation in large letters, the authors' names, and the institution(s) where the work was completed at the top center of the poster.

  • Poster numbers will be provided onsite and will be placed above your poster; you do not need to leave room on your poster for your poster number.

  • Introduction and Summary/Conclusions sections are advised.

  • Double space lines of text.

  • Only text, graphs, photographs, and artwork may be placed on the poster board.

 

Components and Design of the Poster

The heading comprises a title for the research project, author names, and author affiliations (including city and country). Headings have more impact in a sans serif font such as Helvetica or Arial.

Title (no smaller than 72 points, preferably in a sans serif font)

Author names (no smaller than 36 points, preferably in a sans serif font)

Affiliations (no smaller than 26 points, preferably in a sans serif font)

 

Abstract

The abstract summarizes the main results succinctly.

 

Body                         

The body text of the poster will describe background, methodology, results, and interpretation. Body text should be no smaller than 16 points and preferably in a serif font such as Times New Roman or Garamond.

 

Graphics                 

The graphics are essential for an effective poster. Include captions below each graphic. Captions for graphics should be no smaller than 14 points and preferably in a serif font. Graphics should be understandable without recourse to a detailed text caption.

 

Conclusions           

Conclusions should be clear and succinct and provide "take home" messages.
