Volunteer Information
The 2025 International Congress volunteer opportunities are intended for students/trainees only.
Volunteer opportunities are limited and all spots will be claimed. It is essential that students/trainees sign up as a volunteer only if they are confident that they will attend the International Congress and fulfill their volunteer responsibilities. Last minute cancellations present significant challenges for the operations of the Congress and take a registration spot away from other student and trainees.
OVERVIEW
The volunteer program is an essential part of the 2025 International Congress on Integrative Medicine & Health. Volunteers who donate their time provide invaluable assistance to the onsite coordination and seamless execution of the Members Meeting and International Congress. With an estimated 150 shifts from March 3-7, 2025 to choose from, we’re confident that you can get involved in the areas that interest you. Volunteers can sign up in a variety of tasks ranging from helping at the Registration & Information Desk to session support.
Conference Solutions is the official meeting planner for the 2025 International Congress, and will coordinate the onsite volunteer program, as well as provide the necessary training for volunteers to fulfill their tasks.
BENEFITS
Volunteers working six (6) hours or more over the course of the Members Meeting and International Congress will receive complimentary International Congress registration (excluding Members Meeting, Pre-Congress Workshops, CE or other items that require separate paid registration), unless a complimentary registration has already been extended. Volunteers who sign up for shifts by February 7, 2025 will also be provided an International Congress shirt to wear while working and to keep after the event.
Volunteer shifts/hours will be calculated on a cumulative basis and volunteers must commit for volunteer shifts by Friday, January 17, 2025 to be counted toward complimentary registration minimum. Cancellations of shifts that reduce the cumulative total to below the six (6) hours may result in a reversal of complimentary registration, as well as other volunteer benefits, and payment will be required to attend the International Congress.
ROLES
Registration & Information Desk
Assist at the Registration and Information Desk. Tasks may include:
- Check in Members Meeting, International Congress, and/or Pre-Congress Workshop attendees
- Provide attendees with appropriate registration materials and giveaways, if any
- Answer questions regarding the event and provide directional support
- Assist attendees with downloading the Congress Mobile App and fielding basic questions about its use, including how to access and navigate schedules, floorplans, etc.
Session Room Liaison
Assist Conference Solutions staff and Session Chairs prior to and during sessions. Tasks may include:
- Assist staff with room set and/or audiovisual equipment, as needed
- Assist with presenter and session chair check-in and schedule adherence
- Ensure all presenter/moderator name tents are placed prior to their arrival
- Record the number of attendees
Poster Setup / Removal
Assist with poster session setup or removal. Tasks may include:
- Place poster numbers on boards according to diagram
- Set up materials for delegates to hang posters
- Assist poster presenters during set-up and/or tear-down
- Volunteers for poster setup/removal must be able to reach the top of the poster board which stands about seven (7) feet tall
Speaker Presentation Support
Assist with session speaker check in. Tasks may include:
- Answer questions regarding presentation uploads and provide directional support
- Communicate updates with staff
Assist at ACIMH Exhibit Booths
Support Academic Consortium Staff. Tasks may include:
- Exhibit Support – Support the Academic Consortium and Global Advances in Integrative Medicine staff at their booths in the Grand Foyer
Continuing Education (CE) Check In Support
Assist Conference Solutions staff at the CE Desk. Tasks may include:
- Support attendees with required check ins
- Answer general process questions around CE credits
